Staffing ratio in Knuut

This guide explains how Knuut computes the staffing ratio, what you need to do for the figures to be right, and where to follow the ratio. At the end it shows how to check afterwards whether a unit was understaffed.

What does the staffing ratio do?

  • Knuut keeps computing each unit’s ratio from the check-ins made on the unit’s device. It counts the children present and the adults checked in to the ratio.
  • Every child has a multiplier based on age and care time. One adult covers seven multiplier points.
  • The browser version shows every unit on one page, most urgent first. The state tells whether a unit is understaffed, overstaffed or good, or has no check-ins yet.
  • The unit’s device and the manager’s phone show the same figures on the Staffing tab.
  • The staffing ratio report shows the actual ratio in 10-minute slots for a period you choose. You can download it as a CSV or PDF file.
  • In roster planning the same calculation shows ahead of time whether the planned shifts cover the children’s care times.

Who does what?

Role Tasks
Organisation admin Sees the ratio and reports of every unit. Can do everything a Unit admin does, in any unit.
Unit admin Follows the ratio of their own units in the browser and on the phone, keeps children’s details and multipliers up to date and runs the staffing ratio reports.
Worker Checks themselves and children in and out on the unit’s device and chooses at check-in whether they count toward the ratio. Sees the unit’s ratio on the device’s Staffing tab.

Guardians do not see the ratio.
