Care time bookings view

The view gathers the bookings of every child in the unit into one table. It shows who is coming, when, and how many staff each day needs.

1The top of the page decides what the table shows.

  • Unit: an Organisation admin sees every unit, a Unit admin their own. The first unit is selected to begin with.
  • Group: shown if the unit has groups. The default is All groups.
  • Period length: 1, 2, 3, 4 or 5 weeks. The default is 2 weeks.
  • Previous period, This week and Next period move the period. The view never starts earlier than this week. Past weeks are not shown.
  • Times shows or hides the times in the cells.
  • PDF opens the print. See PDF print.

Your choices are kept in the page address. You can bookmark the address or send it to a colleague.

Above the table is a weekly summary with five day cards. It has its own week picker, Previous week and Next week.

Each card shows how many children are present, how many of them are under 3 and how many over 3, and Staff needed. Time window limits the count to certain hours. The presets are Morning 06-09, Lunch 11-12, Afternoon 14-17 and Full day. A child counts if their care time overlaps the window at all.

The table has one row per child and one column per weekday. The child’s name opens the child’s details.

2A day cell holds one of these:

Cell Means
08:00-16:00 1 The child is in care. The time shows when Times is on. The bold number is the child’s multiplier.
S Absent, reason Sick leave.
L Absent, reason Holiday.
P Absent, reason Away (other).
empty The child has no booking and no default time for the day.

A party mark shows on the child’s birthday.

The multiplier comes from the child’s details: 1.75 under 3, 1 for full-time over 3 and 0.538 for part-time over 3 (rounded to 0.54 in the cell), unless the child has a multiplier of their own. The multiplier is worked out for each day separately. If a child turns 3 during the period, the multiplier changes from the birthday on. A multiplier of the child’s own applies on every day.

3Under the table are two rows:

  • Weighted count: the sum of the multipliers of the children present.
  • Staff needed: the sum divided by seven and rounded up.

When All groups is selected and the unit has groups, there are also Per group rows with the count and staff need of each group. Children without a group are not in the group rows.

A child placed in another unit appears in the host unit’s table only on the placed days, with Placed from and the home unit’s name under the name. In the home unit’s table the same days are empty and the name carries Placed: with the host unit and the end date. The group filter and the group rows use the host unit’s group for a placed child.
