Care time bookings are a plan. The unit device shows it during the day, so staff know who is coming and who is not.

The Check-ins tab shows today.

  • The child’s row shows the day’s booked care time, for example 08:00 - 16:00. A blue time means the guardian changed the day’s time from the default schedule.
  • Children whose guardian reported an absence are in their own group, Reported absence. The row shows the reason, for example Sick leave · reported.
  • When a child is checked in or out, the booked hours are shown. If the day’s time was changed, the child’s usual time is shown too.
  • If a guardian reported an absence, the check-in says A guardian reported an absence and You can still check the child in.

A booking never blocks check-ins. If a child reported absent turns up after all, check them in as usual. The row then shows Absence reported so it gets noticed.

The list refreshes when you pull it down or when the app is opened again. The guardian’s notes are not shown on the device.

On the web app’s staffing page, children not yet recorded show their booked arrival and departure times in grey. The Reported absences panel lists the children whose absence was reported but not yet recorded. The status filter has a Reported absence option.

The actual staffing ratio is still counted from recordings only.

Overview shows the same weekly summary as the Care time bookings view: children present, under and over 3, and staff needed each day. An Organisation admin can choose all units at once.

If your organisation uses roster planning, its staffing need curve is worked out from the care time bookings. If a child has no booked care times, the curve is an estimate for that child. See Roster planning.

A child placed in another unit appears on the host unit’s device on the placed days, in the group chosen for the placement, with Placed from and the home unit’s name on the row. They are not on the home unit’s device on those days unless something was recorded for them there that day. Check-ins and check-outs work as usual. The staffing page counts a placed child for the host unit before any record, and the roster staffing need moves to the host unit for the placed days. See What a placement changes.
