Checking in to the ratio

The ratio is computed from the check-ins on the unit’s device. So every check-in and check-out should be made when the person really arrives or leaves.

  1. Unlock the unit’s device with your own PIN. Your own name is at the top of the Check-ins tab.
  2. Tap your name and choose Check-in.
  3. Check Time and Role.
  4. Choose Group. Your group is already selected if your manager has set one for you.
  5. Check the In ratio switch. When it is on, you count toward the ratio.
  6. Tap Check in.
  • When you choose a group, In ratio turns on. You can turn it off if you are not with a group of children, for example in the kitchen or doing office work.
  • When you choose Not in group, In ratio turns off and cannot be turned on. The device shows “A person cannot be counted in the ratio if they are not in a group.”
  • A worker who is present but not counted shows the state Not in ratio in the browser.

Check out when you leave the unit. Breaks are not tracked in Knuut. A worker counts toward the ratio until they check out, breaks included. If you leave the unit during the day, check out, and check in again when you are back.

Record Effect on the ratio
Check-in The child’s multiplier counts from the check-in time.
Check-out or pick-up The child’s multiplier stops counting.
Absence No effect. The absence shows in the browser under Absent.
Absence reported by a guardian No effect. Shows in the browser under Reported absences.
No record The child does not count, even if present.

A worker visiting another unit checks in on that unit’s device. They count in the unit where they checked in, and in their home unit they show as In another unit.

The ratio in the browser and in the app shows only today’s check-ins. A check-in from yesterday that was never closed does not show today. The staffing ratio report counts such a check-in until the end of its day and marks the slots as an estimate. See Staffing ratio report.
