Getting started with Knuut

This guide walks through the steps that bring Knuut into use in an organization. Once these four things are done, managers can use the browser version and staff can check children and themselves in on the unit’s device.

What is needed?

• The browser version at app.knuut.fi. Organisation admins and Unit admins use it.
• The Knuut app on a phone or tablet from the App Store or Google Play. The same app works as the unit’s device, the worker app and the guardian app. The view depends on who signs in.
• A unit device: one phone or tablet per unit is enough. The device signs in to the app with its own device account and stays signed in.
• A PIN code for every employee. The employee unlocks the unit’s device with their own PIN, so every check-in has a name on it.

Getting startedClear

1. Users are added to the browser versionOrganisation admin. Settings → Users → Add user. One account per manager, with the right role. Instructions
2. Everyone invited has signed in and changed their passwordThe temporary password in the email works for 7 days. The Status column shows Active once the user has signed in.
3. The Knuut app is installed on the unit's deviceApp Store or Google Play, search for Knuut. The device has automatic screen lock and app updates turned on. Instructions
4. Every unit has a device accountSettings → the unit → Devices → Add a new device. Save the username and password right away, they are not shown again. Instructions
5. The device is signed in to the app with its device accountScan the QR code on the app’s sign-in page or type the username and password. The PIN screen appears.
6. Employees are added to KnuutEmployees → New employee. Knuut generates a PIN for each one at the same time. Instructions
7. Every employee has received their own PINEmployees → the employee’s name → PIN code. Tell the employee the code in person. Instructions
8. The first check-in is done on the deviceThe employee unlocks the device with their PIN and checks themselves in on the Check-ins tab. This confirms that the device, the account and the PIN work together.

Who does what?

Role	During setup
Organisation admin	Adds users to the browser version and chooses their roles. Can do everything a Unit admin does, in every unit.
Unit admin	Creates the device accounts for their own unit, adds employees and hands out PIN codes.
Worker	Gets a PIN from their manager and uses it on the unit’s device. Needs no account for the browser version.
