Where to find it:Staffing ratio

At the top of the page is the situation of all units in one sentence and the count of units in each state. The Units table shows each unit’s Ratio, Utilisation, Need and State. The order is understaffed, overstaffed, no check-ins and good, with units in the same state in alphabetical order. A sketch of the page is at the start of this guide.

The Search button finds staff and children across every unit. A result shows the unit and state, and the name takes you to the person’s details.

An Organisation admin sees every unit, a Unit admin their own units.

• 1Unit switcher: move to another unit straight from here.
• 2Situation: the state and a sentence, for example “The unit is short 1 adult to meet the ratio.”
• 3Figures: Children present and Staff present as present / everyone in the unit. Absent includes recorded absences and those reported by guardians. Ratio, Utilisation and Need cover the whole unit.
• 4Filters: search by name, type (Children or Staff), state and group. Clear removes the filters.
• 5List: every child and worker, with multiplier, group and check-in and check-out times. A child’s declared care times show in grey in the In and Out columns.
• 6Reported absences and Latest check-ins: guardians’ reports and the unit’s 20 latest records.

Filters do not change the figures

Filters only shorten the list. The ratio, utilisation and need always cover the whole unit, even if you pick a single group.

States in the list

State	Meaning
Present	Checked in. A child counts, and so does a worker who is in the ratio.
Not in ratio	The worker is present but does not count toward the ratio.
Picked up or Left	Checked out today. No longer counted.
Absent	An absence was recorded on the device.
Absent · reported	A guardian reported the absence in the app.
No check-ins	The person has not been recorded today yet.
In another unit	The person checked in at another unit and counts there.
